CALL FOR ASSISTANCEThe Complete Guide for Printer Setup: How to Set Up Your Photosmart, OfficeJet, Envy and LaserJet
Configuring a new printer should never be complicated. Whether you use a Photosmart, OfficeJet, Envy or LaserJet model, the right setup process helps prepare your printer for everyday printing. This guide covers printer drivers, Wi-Fi connections, adding a printer to your computer and common setup issues.
Printer setup generally involves preparing the device, installing compatible software, connecting it to your computer or network, and completing the initial configuration. Exact steps may vary depending on your printer model and operating system.
Step 1 — Unbox Your Printer
Begin by unpacking your printer. Remove all protective foam, plastic, tape and other shipping materials from the outside and accessible interior areas of the device.
Find the Right Location
Place the printer on a level, stable surface with enough space to load paper, access the control panel and open the printer covers. If you plan to use Wi-Fi, place the printer within a suitable range of your wireless router.
Power On the Printer
Connect the printer to a suitable power outlet using the supplied power cable. Press the power button and allow the printer to complete its initial startup process before continuing with setup.
Step 2 — Install Printer Drivers
Printer drivers and device-specific software help your computer or mobile device communicate with your printer. Installing the correct software is an important part of the setup process.
Find Software for Your Printer
Visit the printer manufacturer’s official support website and search for your exact printer model. Choose software compatible with your printer and operating system.
Download the Compatible Driver
Select the correct operating system and download the recommended driver or setup application. Check the model number before downloading or installing any software.
Run the Installer
Open the downloaded installer and follow the on-screen instructions. If prompted, choose a USB or wireless connection method that matches your setup.
Complete the Setup
Follow the remaining prompts until installation finishes. Confirm that the correct printer is selected, then try a test print if the software provides that option.
Step 3 — Configure Your Printer via Wi-Fi
A wireless connection lets you print without keeping a USB cable connected between your printer and computer. Menu names and setup options can differ from one printer model to another.
Before you begin: Make sure you know your Wi-Fi network name and password. Some printers require a setup application or a specific wireless configuration method.
Open Wireless Settings
Use your printer’s control panel to find Wireless Settings, Network Settings or a Wireless Setup Wizard, if available.
Select Your Wi-Fi Network
Choose your network from the available list. Enter the correct wireless password when prompted and confirm the connection.
Confirm the Connection
Check the printer’s screen or wireless indicator for a connection status. If the printer does not connect, verify the password and consult the instructions for your model.
Add the Printer to Your Device
Once connected to the network, open your computer or mobile device’s printer settings and follow the steps to add the printer, if it is not already listed.
Helpful tip: Your computer or mobile device will usually need to be connected to the same local network as the printer. Wi-Fi Direct is a separate connection method supported by some printer models.
Step 4 — Add the Printer to Your Computer or Device
After connecting your printer to Wi-Fi or your computer, add it to your device so you can select it when printing documents, photos and other files.
For Windows Users
- Open Start and select Settings.
- Go to Bluetooth & devices, then Printers & scanners.
- Select Add device or Add a printer or scanner.
- Wait while Windows searches for available printers.
- Select your printer from the results and follow the prompts.
For Mac Users
- Open the Apple menu and select System Settings.
- Go to Printers & Scanners.
- Select Add Printer, Scanner or Fax, or the relevant Add button.
- Choose your printer from the available devices and select Add.
Can’t find your printer? Check that the printer is powered on and connected to the same network as your computer. Available options may vary by operating system and printer model.
Step 5 — Print a Test Page
Once the printer has been added, print a test page or a simple document to check that the connection and installation are working correctly.
For Windows
- Open Settings and go to Bluetooth & devices.
- Select Printers & scanners and choose your printer.
- Open the available printer management or properties options.
- If available, select Print Test Page and check the result.
For Mac
- Open System Settings and select Printers & Scanners.
- Select your printer and open its print queue or print options.
- Print a document to verify that the connection is working.
Setup check: If the page prints successfully, your basic printer setup is generally complete. If it does not, check the paper, ink or toner, connection and any error messages shown by the printer.
Step 6 — Troubleshooting Common Setup Issues
Sometimes a printer takes time to connect or does not appear on your computer. Start with these basic checks before trying the setup process again.
Still having trouble? Check the error message and your exact printer model’s documentation. Menu names and troubleshooting steps can differ between models.
Step 7 — Enjoy Your Printer
Once your printer is connected, the necessary software is installed and a test print works correctly, you should be ready to print documents, photos, schoolwork and other files.
- ✓ Connection checked: Your printer is connected through USB or a supported wireless connection.
- ✓ Device added: Your computer or mobile device can select the printer when printing.
- ✓ Test print completed: The printed page looks correct and no setup error remains.
- ✓ Ready for everyday use: Keep the printer supplied with paper and ink or toner as required.
